Welcome to Pixelcode's suite of SaaS products! Your privacy is important to us. This Privacy Policy applies to all software-as-a-service platforms developed and operated by Pixelcode Developers Pvt Ltd ("we", "us", or "our"), including our Gym Management Platform (FITNEX) and any other products we build and operate. It explains how we collect, use, store, and protect your personal information when you use our platforms, in compliance with the General Data Protection Regulation (GDPR) and other applicable laws.

1 Information We Collect

  • Account & Business Information: Name, email address, phone number, business name, and other details provided during registration or account setup (e.g., gym owner onboarding).
  • Member & End-User Data: Personal details of gym members or end-users managed through our platform — including name, contact information, membership tier, subscription status, and attendance records — entered by the platform operator (gym owner) on behalf of their users.
  • Subscription & Payment Data: Membership plan details, billing cycles, renewal dates, subscription start/end dates, and payment status records. We do not store raw card numbers; payment processing is handled by certified third-party payment providers.
  • Attendance & Activity Records: Check-in and check-out timestamps, visit frequency, and activity logs generated through platform usage.
  • Usage Data: Information on how you interact with our platforms, including features used, pages viewed, preferences, and engagement metrics.
  • Device & Technical Information: Device type, operating system, browser type, IP address, and unique device identifiers collected automatically when you access our platforms.

1a Member & End-User Data — Details

Because our platforms (such as the Gym Management Platform) are operated by businesses who manage their own end-users, we want to be fully transparent about how this data is handled:

Data collected: Member names, contact details, subscription plans, renewal/expiry dates, and attendance records.

Where it is stored: Securely on Pixelcode's servers over encrypted (HTTPS) connections.

Purpose: To enable platform operators to track active memberships, monitor attendance, send subscription expiry reminders, manage renewals, and maintain organized member records.

Third-party sharing: Member data is never sold, rented, or shared with third parties for advertising or any unrelated purpose.

Retention & deletion: Member data is retained for as long as the platform operator maintains an active account with us. Operators may delete member records at any time from within the platform. Deletion of a platform operator's account removes all associated member data from our servers.

Requests: End-users (gym members) wishing to access or delete their data should contact the platform operator (gym owner) directly. Operators may contact us at privacy@pixelcodedev.com.

2 How We Use Your Information

  • To provide, operate, and maintain our SaaS platforms and their core features.
  • To track member subscriptions, monitor active/inactive status, and send automated renewal or expiry notifications.
  • To display attendance records, visit history, and activity analytics to platform operators.
  • To personalize the platform experience and improve its functionality.
  • To communicate with platform operators regarding account updates, billing, new features, and support.
  • To send marketing communications about Pixelcode products (only if you have opted in).
  • To monitor usage trends and analyze platform performance for improvements.
  • To comply with legal obligations and enforce our Terms of Service.

3 Sharing Your Information

We do not sell or rent your personal information. We may share your information only in the following limited circumstances:

  • Service Providers: Trusted third-party vendors who assist with hosting, payment processing, email delivery, and analytics — bound by confidentiality agreements.
  • Legal Requirements: When required by applicable law, regulation, court order, or government authority.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction. You will be notified via email or prominent notice on our platform.

4 Data Security

We use industry-standard security measures — including HTTPS encryption, secure servers, access controls, and regular security audits — to protect your data from unauthorized access, alteration, disclosure, or destruction. However, no method of transmission or storage is 100% secure. In the event of a data breach that poses a risk to your rights, we will notify affected users and relevant authorities within the timeframes required by applicable law.

5 Data Retention

We retain your personal data only for as long as is necessary to provide our services and fulfill the purposes described in this policy. Account data is retained for the duration of your active subscription and for a reasonable period thereafter for legal and audit purposes. Member and attendance records are retained as long as the associated platform operator account remains active. You may request deletion of your data at any time by contacting us.

6 Children's Privacy

Our platforms are intended for use by businesses and individuals aged 18 and above. We do not knowingly collect personal data from children under the age of 13. If we become aware that a child under 13 has provided us with personal data, we will take steps to delete that information promptly. Under GDPR and other applicable laws, you have the following rights regarding your personal data:
